TruckTabs Terms of Service

1.Who we are and what these terms cover

TruckTabs is a permit service for motor carriers. These Terms of Service (the "Terms") are an agreement between you and TruckTabs ("TruckTabs," "we," "us"), a registered Oregon business. They cover the TruckTabs website, the permit ordering tools on it, the accounts and dashboards behind it, our phone line and text messaging, our AI assistant Allison, and the permit services we perform for you (together, the "Services").

By ordering a permit, creating an account, or otherwise using the Services, you agree to these Terms and to our Privacy Policy. If you are agreeing on behalf of a company, you represent that you are authorized to bind that company, and "you" means that company.

The Services are built for commercial motor carriers and the people who dispatch them. They are not intended for personal, family, or household use, and you may not use them if you are under 18.

2.What TruckTabs does, and what it does not do

We are a third-party permit service. You tell us the route, the equipment, and the load; we determine which trip, fuel, and oversize/overweight permits the trip needs in each state, quote the cost, and — once you pay — prepare and file the applications with the state agencies that issue the permits. When a permit is issued, we deliver it to you.

We want to be direct about the limits of that role:

• We are not a government agency and we are not affiliated with, endorsed by, or acting under the authority of any state department of transportation, motor carrier division, or other permitting body. We act as your agent in dealing with them.
• We are not a law firm and nothing we publish or tell you is legal advice. Regulations, fees, and limits change; the responsibility for operating legally is yours.
• We do not issue permits. The issuing agency decides whether to grant a permit, on what conditions, and how long it takes.
• Our determination is not a guarantee of legal compliance. We work out which permits a trip needs, and whether a load is over a state's legal limits, from the limit and fee data we hold for that state at the time you ask. States change those limits and apply them to specific configurations in ways our data may not capture. Our determination is our best professional judgment, not a legal opinion, and it does not transfer responsibility for the move to us. You remain responsible for confirming that your vehicle, load, and route are legal in every state you travel, and for obtaining any permit or approval we did not identify.
• We are not a broker, carrier, or freight forwarder, and we do not arrange transportation.

3.Allison, our AI assistant, and AI tools

Our phone line is answered by Allison, an artificial-intelligence assistant, and we may offer her by web chat as that feature ships. She can answer questions about permits and state requirements, look up a state's legal limits, price a trip and save that quote so you can finish it online, send you a link to it by email, or by text to the number you're calling from where available, take a message for our team, and put you through to a person during our business hours. Allison runs on speech technology and large language models from third-party providers, described in our Privacy Policy.

AI can be wrong. What Allison tells you is generated automatically and may be incomplete or inaccurate. It is provided for convenience and is not legal advice. A quote, a legal-limit answer, or a determination of which permits a trip needs that you get from Allison is an estimate on the same terms as one from our website: the pricing, review, and "what TruckTabs does, and what it does not do" sections of these Terms govern it, and nothing is ordered or charged until you place an order and pay for it or its invoice. If something Allison said differs from your written quote, invoice, or permit, the written document governs.

You agree not to give Allison information you do not have the right to share, and not to try to manipulate, extract, or interfere with the models, prompts, or systems behind her.

AI assistants that use our tools

Our site publishes a small set of tools that an AI assistant working in your own browser, such as ChatGPT, can use at your direction to look up a state's legal limits or price a trip. What that assistant tells you is its own output, not ours, and you are responsible for what it does on your behalf. A quote it gets for you is an estimate governed by these Terms like any other.

4.Placing an order

Ordering happens in two parts

You get a quote and pay using your route, your vehicle configuration, and your load. You then sign in and give us the specific truck, trailer, and driver, which is what we actually file. This means your card is charged against an estimate built from partial information, and the price can move once we have the rest of it — see the pricing section below.

If we have not received the second part within 30 days we will contact you. If we still cannot file, we will cancel the order and refund the state permit fees, keeping our service fee for the work already done.

The information you give us

A permit application is built from what you enter: the states on your route and the miles in each, your vehicle configuration and axle count, plate and VIN details, the load category and its gross weight and dimensions, your operating authority (MC or USDOT number), your company details, and the driver assigned to the trip. Most states require the driver's license number on the application, and we submit it to the issuing agency.

You are responsible for the accuracy and completeness of that information, and you warrant that you have the right to give it to us — including information about your driver. States issue permits against what is on the application. If a dimension, a weight, an axle count, a plate, or a route is wrong, the permit we obtain may be void, unusable, or non-compliant, and any resulting fine, citation, delay, escort cost, or re-permitting cost is yours. We are not obligated to verify what you submit, and any verification we perform does not shift that responsibility to us.

Your authorization

When you place an order, you authorize us to act as your agent for the limited purpose of preparing, signing, submitting, and paying for permit applications on your behalf, and to communicate with state agencies about them. You authorize us to use your carrier information, equipment information, and driver information for that purpose, and to create or use accounts in your name on state permitting portals where a state requires one. This authorization lasts as long as you have an open order with us and may be revoked in writing for future orders.

Some states require their own authorization or power of attorney before a third party can file on your behalf. You agree to sign one promptly when we ask, and we cannot file in that state until you do.

Saved and abandoned quotes

We save your progress as you work through a quote so you can come back to it, and we can email you a link to resume. A saved quote is not an order and does not reserve pricing. Anyone with the resume link can see and continue that quote, so treat it like a password.

Oversize and overweight is determined, not asked

We compare your load against each state's legal limits and add an oversize/overweight permit for a state when the load exceeds them, whether or not you asked for one. We tell you when we have done that, on the quote. Adding it is not optional: a load over the legal limit cannot be moved on a trip permit alone.

5.Pricing, estimates, and fees

Your total is made up of three things:

• State permit fees — what the issuing agency charges, calculated from that state's published fee schedule against your vehicle, axles, weight, dimensions, and miles.
• Our service fee — what we charge to prepare and file the permit, shown per state.
• A 5% processing fee on the order subtotal (state permit fees plus our service fees), applied once per order. The exact amount is shown as its own line on your quote before you pay.

Some oversize and overweight moves carry costs a state imposes on top of the permit fee — engineering or bridge analysis, a route survey, state-arranged escorts or police, or a surety bond. Where a state requires one, we quote it if we know it in advance and invoice it if we do not.

Every quote is an estimate. It is calculated from the information you provided and from the fee schedules we hold for each state at the moment you request it. Line items and per-state breakdowns show what we expect our costs to be; they do not necessarily reflect our exact cost. Estimates change if your details change, and states change their fees, their rules, and their surcharges without notice to us.

If the actual cost is more than we estimated, we may send you a supplemental invoice for the difference. Where the shortfall would prevent us from filing, we will contact you and the permit will not be filed until the supplemental invoice is paid. You do not have to pay it: a permit we have not filed can be cancelled on the terms in the cancellation section below, and the rest of your order is unaffected.

If the actual cost is less than we estimated, or if you take a permit off an order before we have filed it, we credit the difference to your account, where it comes off your next order automatically. Tell us and we will refund it to the card you paid with instead — see the cancellation section for how this works when you cancel a whole order.

Prices are quoted and charged in U.S. dollars. You are responsible for any taxes on our services other than taxes on our income.

6.Orders we hold for review

Some orders are priced but then held rather than sent to checkout. If a state we need has no pricing on file, if the order prices at zero, if the dimensions or weight are far outside the normal range, if the order covers an unusually large number of states, or if the total is above the threshold we set for automatic checkout, we hold the order for a person to review before any card is charged.

When that happens you will finish giving us your details, we will not take payment, and a member of our team will quote the order by hand and send you an invoice. Nothing is filed and nothing is charged until you approve that quote. We hold orders in your interest as much as ours: it is how we avoid charging you for a permit we cannot actually obtain at that price.

We may also decline or cancel an order at our discretion — for example where we cannot obtain the permit, where the information does not add up, or where filing it would put our standing with a state agency at risk. If we do, we refund everything you paid for it.

7.Payment, invoices, and refunds

Payment

Permit orders are invoiced per order and are prepaid. We accept payment by card through our payment processor. Card details are entered directly with the processor and are never received or stored on our systems; we keep only the card brand, the last four digits, and the processor's reference so we can match a payment to your order and support a refund or dispute. Staff may also send you an invoice with a pay-by-link for adjustments, supplemental amounts, or hand-quoted orders.

By submitting a payment you authorize us to charge the amount shown, and you represent that you are authorized to use that payment method. If a payment is reversed, charged back, or otherwise fails after we have filed a permit, you remain responsible for the amount, and we may suspend work on your other orders until it is resolved.

Cancellations and refunds

• Cancelling the whole order, before anything is filed. We refund what you paid, to the card you paid with: the state permit fee for each permit not yet filed, plus up to 50% of our service fee for those permits, and the processing fee attributable to those lines. Permits already filed are not refundable.
• Taking one permit off an order we are still working. The same amounts, credited to your account rather than refunded, so they come off your next order automatically. Ask and we will refund them to your card instead.
• Once your order is fully processed — meaning every state permit on it has been filed, even if the permits have not yet been received — no refund is available. State permit fees are paid to the issuing agency and are almost never refundable to us.
• If a state refuses to issue. If a permit cannot be obtained for reasons outside your control and the state refunds or does not take its fee, we refund that fee to you. Our service fee for work already performed is not refunded.
• If we make the mistake. If a permit is unusable because of an error we made in preparing or filing it from the information you gave us, we will correct and re-file it at our cost, or refund what you paid for that permit. This is your sole and exclusive remedy for our error, and it covers our preparation and filing — not our determination of which permits a trip requires, which is addressed above and is not a guarantee of legal compliance. See the limitation of liability below.

Cancellation requests must be sent to team@trucktabs.com, or made by calling 503-212-0295 and confirmed in writing. Permits are often filed within minutes of payment, so call if the trip is imminent.

Refunds go back to the card you paid with, and usually appear within five to ten business days depending on your bank. If something looks wrong on a charge, contact us before disputing it with your card issuer — we can almost always resolve it faster. If a dispute is resolved in our favour, you are responsible for the processor's dispute fee and our reasonable costs of collection, including attorneys' fees.

8.How we obtain permits, and what we do not guarantee

After payment, including payment of a hand-quoted invoice, we prepare each application and file it with the issuing agency, through its portal, by email, or by phone, depending on the state. You receive each permit as it is issued, by email, and in your account as that becomes available.

Turnaround depends entirely on the state. Many permits are issued in minutes; some states require a review that takes hours or days; superload and route-survey permits can take considerably longer. State permit offices keep their own hours and holidays, and their portals go down. We work Monday through Friday, 7:00 a.m. to 5:00 p.m. Pacific time and will tell you what we know about timing for your states, but:

We do not guarantee that any permit will be issued, that it will be issued by any particular time, that it will be issued on the terms or route you requested, or that a state will not revoke, restrict, or condition it after issuance. Those decisions belong to the issuing agency.

Some states impose their own conditions on a permit — travel windows, curfews, escort or pilot car requirements, route restrictions, holiday and weather restrictions, and bridge or structure limits. Those conditions come from the state, apply to you, and are not something we can waive or negotiate.

9.Your responsibilities once a permit is issued

Holding a permit we obtained does not make the move legal on its own. You are responsible for:

• Reading every permit and complying with all of its terms, conditions, and restrictions.
• Running the routes the permit authorizes, within the dates, times, and travel windows it allows, and arranging any required escorts, pilot cars, flags, signs, or lighting.
• Carrying the permit as the state requires — in the cab or on the device — and producing it on demand.
• Keeping the vehicle, load, and driver in compliance with all applicable federal, state, and local law, including FMCSA regulations, size and weight law, and hazardous materials rules.
• Telling us promptly if anything changes after we file — the route, the dates, the equipment, the load, or the driver. A change usually needs an amended or new permit, at additional cost.

Fines, citations, impoundments, escort charges, detention, and damage arising from a move are yours, except to the extent they result directly from our error as described above.

10.Accounts and access

You can get a quote and pay for an order without an account. An account is created for you afterward so you can track the order and, as those features ship, upload what a state needs, save equipment and drivers, and reorder. You must give accurate account information and keep it current.

You are responsible for your credentials and for everything done under your account. Do not share a password. Tell us immediately at team@trucktabs.com if you believe an account has been accessed without authorization. If several people at your company use the account, you are responsible for what each of them does with it.

11.Communications and electronic records

We will send you transactional email about your orders — quotes, receipts, permits, invoices, account notices, and requests for information a state needs. These are part of the Services and you cannot opt out of them while you have an open order. We do not send marketing email today; if we start, every message will carry an unsubscribe link and we will honor it.

You consent to receive contracts, notices, disclosures, permits, receipts, and other records from us electronically, and you agree that an electronic signature or a click-through acceptance has the same effect as a signature on paper. You may withdraw that consent by contacting us, but doing so means we can no longer provide the Services.

Phone calls

Calls to our phone line are answered by Allison and are recorded and transcribed, so we can do what you asked, resolve any question about what was said, and improve the Services. The call tells you it may be recorded at the start; by continuing the call after that notice, you consent to the recording. If you would rather not be recorded, email team@trucktabs.com or use the website instead.

Text messages

If you text our line or give us a mobile number, we may text you about your quotes, orders, permits, and account. We do not send marketing texts. Message frequency varies, and message and data rates may apply. Reply STOP to stop receiving texts from us, START to allow them again, or HELP for help. Mobile numbers and text opt-in information are not shared with third parties or affiliates for marketing or promotional purposes.

12.Acceptable use

You agree not to:

• Submit false, misleading, or fraudulent information, or apply for a permit for a load you do not have.
• Use the Services on behalf of a carrier without that carrier's authorization.
• Scrape, harvest, or bulk-download our pricing, legal limits, equipment specifications, state office data, or other content, or use automated means to access the Services beyond ordinary use. This does not apply to a search engine crawler we permit in robots.txt, or to an AI assistant using, within ordinary use, the tools we publish for AI assistants to use.
• Reverse engineer the Services, probe or test their security, circumvent rate limits or bot protection, or interfere with their operation.
• Resell, sublicense, or white-label the Services or our data without a written agreement with us.
• Use the Services to violate any law, or in any way that puts our relationship with a state agency at risk.

You represent that neither you nor your company is subject to United States sanctions or named on a denied party list, and that you will not use the Services in violation of United States law.

13.Our content, and the information on this site

The Services, our software, our brand, and the databases behind them — including per-state pricing, legal limit tables, permit office details, and equipment specifications — are owned by us or our licensors and are protected by copyright, trademark, and other laws. These Terms grant you no right in them beyond using the Services as intended. You may print or save documents relating to your own orders.

Reference material is reference material. The state regulation pages, equipment dimensions, legal limit tables, calculators, and articles on this site are provided for general information. They are compiled from state sources and kept current as best we can, but regulations change constantly and a page can be out of date or wrong for your specific configuration. Do not rely on them as the sole basis for a move. The permit itself governs.

If you send us feedback or suggestions, we may use them without obligation or compensation to you.

14.Third-party services and links

The Services rely on third parties — a payment processor, mapping and geocoding, federal carrier data, email delivery, hosting, telephone and text messaging, speech recognition, and artificial-intelligence model providers — and link to state agency sites and portals. We do not control those services and are not responsible for their content, availability, accuracy, or their privacy practices. Your use of a third-party service is governed by that party's terms. Our Privacy Policy lists the providers we use and what they receive.

15.Disclaimers

To the fullest extent permitted by law, the services are provided "as is" and "as available," and TruckTabs, its affiliates, suppliers, and licensors make no warranties of any kind, express or implied, including any implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the services will be uninterrupted, secure, or error-free, that quotes will match final state charges, that permits will be issued, that our determination of which permits a trip requires is complete or correct, or that the legal limit and other regulatory information we hold or publish is accurate, complete, or current.

Some jurisdictions do not allow the exclusion of certain warranties, so parts of this section may not apply to you.

16.Limitation of liability

To the fullest extent permitted by law, TruckTabs, its affiliates, suppliers, and licensors will not be liable for any indirect, special, incidental, punitive, exemplary, or consequential damages, or for any loss of use, data, business, revenue, profits, goodwill, or business opportunity, regardless of legal theory and regardless of whether we were advised of the possibility of such damages.

Whether characterized as direct or indirect, our liability for detention, demurrage, fines, citations, impoundment, escort costs, and the cost of substitute transportation is limited by the cap below.

Our total liability arising out of or relating to these Terms or the Services will not exceed the greater of the amount you paid us for the order giving rise to the claim, or one hundred U.S. dollars.

These limits apply to the maximum extent permitted by law and survive any failure of an exclusive remedy. Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.

17.Indemnification

You will defend, indemnify, and hold harmless TruckTabs, its affiliates, and their officers, employees, and agents from any claim, demand, loss, liability, fine, penalty, cost, or expense (including reasonable attorneys' fees) arising out of or relating to:

• the information you submit to us;
• a move made under a permit we obtained for you;
• your violation of these Terms, of any law, or of any permit condition;
• your use of the Services; or
• a claim by a driver, employee, or other person relating to information you gave us about them.

This does not apply to the extent a claim arises from our gross negligence, willful misconduct, or breach of these Terms. We will notify you promptly of any claim we ask you to defend, you will not settle it in a way that admits fault on our part or imposes an obligation on us without our consent, and we may participate in the defense with our own counsel at our expense.

18.Suspension and termination

You may stop using the Services at any time, and you may ask us to close your account. We may suspend or terminate your access, with or without notice, if you breach these Terms, if we believe your use creates legal risk or risks our standing with a state agency, if a payment fails or is reversed, or if we discontinue the Services.

Termination does not affect orders already filed, amounts you already owe, or refunds already due. Sections that by their nature should survive — ownership, disclaimers, limitation of liability, indemnification, disputes, and governing law — survive termination.

19.Resolving disputes

Before filing a claim, you agree to try to resolve it informally. Send a written notice of dispute to team@trucktabs.com with your name, your company, the order number, a description of the dispute, and the relief you seek. We will try to resolve it by contacting you. If it is not resolved within 60 days of that notice, either of us may bring a formal proceeding. Any claim must be brought within one year after it arises, or it is permanently barred, to the extent the law allows that limit.

20.Governing law

These Terms are governed by the laws of the State of Oregon, without regard to its conflict of law rules.

21.General terms

• Entire agreement. These Terms and the Privacy Policy are the entire agreement between you and us about the Services, and replace any earlier agreement or terms on the same subject, including the version of these terms dated September 5, 2026 — except that an order placed before the effective date above is governed by the terms in effect when it was placed.
• Severability. If a provision is found unenforceable, the rest stays in effect and an enforceable term is substituted that reflects our intent as closely as possible.
• No waiver. Our failure to enforce a provision is not a waiver of our right to enforce it later.
• Assignment. You may not assign these Terms without our written consent. We may assign them to an affiliate or to a successor in a merger, acquisition, or sale of assets.
• Force majeure. Neither party is liable for a delay or failure caused by something outside its reasonable control, including a state agency's closure, portal outage, or processing backlog, severe weather, labor action, or network and utility failure.
• Independent contractors. Nothing here creates a partnership, joint venture, or employment relationship. We act as your agent only for the limited purpose described above.
• Notices. Notice to you is effective when sent to the email address on your account. Notice to us goes to team@trucktabs.com and to TruckTabs, 321 Goodpasture Island Rd, Eugene, OR 97401.
• No third-party beneficiaries, except that our affiliates and agents may invoke our rights under these Terms.

22.Changes to these terms

We may modify these Terms. If a change is material we will give at least 30 days' notice by email or by a notice on the site before it takes effect, and we will update the effective date at the top of this page. What counts as material is our reasonable judgment. Continuing to use the Services after a change takes effect means you accept the revised Terms; if you do not, stop using the Services. The Terms in effect when you placed an order govern that order.
